Bar Steward Stocktake Data Collection Application for Palms

The purpose is to reduce time taken to produce a stocktake result.

Hardware requirements are:

Palm Computer with Barcode Scanner

Serial port Cradle

Software requirements are:

Bar Steward Palm Application

Bar Steward for Windows

Installation of the Bar Steward Palm Application

The Bar Steward Palm Application is loaded by double clicking on the ‘Bar Steward.prc’ application icon in the explorer window; follow the on screen instructions to load the application onto the Palm computer.

After completion of the HotSync process, the Bar Steward Palm application will be displayed on the Palm Computer.

The stocktake process is easy

Select a stock location, select a transaction type, scan the product, select a status and enter the quantity. Continue, by scanning and entering stock quantities until you wish to change location, transaction type, or status.

	Tap on the Bar Steward Icon to launch the application.

	When the Bar Steward application launches the software will check for the stocktake database, and will display a Program Message if one has to be created. Tap on OK to continue.

	When the Main Menu is displayed, if the stocktake database exists the application will display a Program Message detailing the current number of stocktake records. Tap on OK to continue.

	Tap on the Stocktake button to launch the Stocktake Input screen. Click on the Exit button to return to the palm computer application launcher.

	The Stocktake Input screen comprises 5 fields for data input. Location 0 – 9, and A – Z (36 Locations) Transaction Types: Closing Stock Opening Stock Returns Waste Deliveries Adjustments Allowance Money Product Status Full Partial Measures Weight Quantity A prompt is displayed in square brackets [After 1008 Select a Location]. There are two Buttons: Next for continuing with the next stock record or Done to return to the Main Menu.

	There are two stocktake data input processes: Cash Money Adjustment Allowance These transaction types require a Location, A transaction Type, and an Amount (Quantity). Stocktake Types Closing Stock Opening Stock Returns Waste Deliveries These transaction types require a Location, a Transaction Type, a Product, a Status, and a Quantity.

	Cash Transaction. Tap on the Stocktake button to launch the Stocktake Input screen.

	Tap on the Location inverted triangle and select a Location from the pulldown list.

	Tap on the Transaction inverted triangle and select a Transaction type of Money, Adjustment, or Allowance from the pulldown list,

	Enter an Amount (Quantity). And Tap on the Next Button.

	The form will refresh starting at the Location field with the Transaction Type carried forward. The transaction Type can be re-selected when required. Repeat the above steps for further Stocktake transactions of tap on the Done button to return to the Main Menu.

	Stocktake Transaction Tap on the Stocktake button to launch the Stocktake Input screen.

	Select a Location from the pulldown list

	Tap on the Transaction inverted triangle and select a Transaction type of Closing Stock, Opening Stock, Deliveries, Returns, Transfers, or Waste from the pulldown list,

	Scan or enter a product code.

	Tap on the Status inverted triangle and select a Status from the pulldown list.

	Enter a quantity for the product and Tap on the Next button.

	The form will refresh starting at the Product field. The Location, Transaction Type, and Status is carried forward from the previous record. Scan another Product and Enter the Quantity. Repeat the above steps for further Stocktake transactions. The Location, Transaction Type and Status can be changed at any time. Tap on the Done button to return to the Main Menu.

	Stocktake Data Download Tap on the Download Data button to launch the Download Confirmation screen.

	Ensure the cradle is connected to the PC, the Palm computer is in the cradle, that Bar Steward is running on the PC, and that the Bar Steward Download window is displayed on the PC. Tap on the Confirm Download button to transfer the data.

	After the Download has completed the Purge Data form will be displayed. WAIT! Ensure that the data has down loaded to the PC. Only Tap the Confirm PURGE button when this has been verified.

	A Program Message will be displayed stating that there are no current stocktake records. Tap on OK to continue.

	Stocktake Data Purge Tap on the Purge Data Button to launch the Purge Confirmation screen.

	The Confirm Purge Confirmation form will be displayed. Tap on the Confirm Purge button to purge the stocktake data.

	A Program Message will be displayed indicating that there are no records. Tap on OK to continue.

	Click on the Exit button to return to the palm computer application launcher.

Technical Stuff The Bar Steward Palm Application is approximately 110Kb on the Palm Computer The Runtime Library is approximately 90Kb on the Palm Computer	The Symbol Library is approximately 5Kb on the Palm Computer 1000 transactions require approximately 45Kb on the Palm Computer

	Scanner Set Up Element Positions maintained for existing scanner users and Palm Computer.

	Scanner Set Up The Dbase Start and End codes, and the Stock Start and End Codes remain for existing scanner users and Palm Computer. Because there is a direct conduit to the Palm Computer none of the remaining settings are required.
